Offering comprehensive solutions to improve transcription workflow

After determining the transcription workflow of a healthcare facility and getting to know the dictation volume, the project manager of our company also takes the initiative to listen to the patient encounters read into the centralized recording system, each of the dictation is reviewed and heavy accented dictations are identified. This information facilitates us to assign such dictations to medical transcribers with extraordinary listening skills.

The turn-around-time for documenting the reports is also taken into account, including the TAT requirements for STAT reports. The templates used by a healthcare facility are also reviewed and the tracking modalities available in the application for identifying the patient’s old medical records are also ascertained. After reviewing the parameters, Medical Transcriptions Service prepares an analysis report that highlights the service needs of the facility and solutions based on the requirements are proposed.

As a start-up of our service a 7-day free trial offered

As a part of the proposal and start-up of our service, we offer AltaPoint EMR application users a 7-day free trial and in some cases we also offer a one month contract free pilot proposal. A team of medical transcribers is specifically assigned to the healthcare facility with two transcribers documenting each physician’s dictations. In the transition phase, the project manager is in constant touch with administrators of the healthcare facility that includes a weekly review. This is in addition to the 24 x 7 customer support available to the customers.

The technical team of our company with the assistance of the healthcare facilities IT staff establishes a Virtual Private Network (VPN) through a login ID  provided by the IT staff. The HL-7 standard HIPAA compliant interface allows our company’s medical transcribers to login and access the dictations available in the centralized recording systems. After the dictations are documented, they are saved in the destination folders assigned to each physician, within the EMR.

In the transition period it is quite likely that technical issues may crop up, but these are quickly addressed and resolved. These issues may relate to templates for instance or to transcription formatting issues. The 40 to 50 reports processed in the free trial period and made available to the administrators of the facility for review in all probability leads to signing a Business Associate Agreement, seldom has any issue prevented a healthcare facility to discontinue our services.

An all-round improvement in document work-flow notably visible

The web-based service enabled the physicians of the facility to access the documented reports in 12 hours and for the STAT reports they were able to get it in two to four hours. This improved turn-around-time facilitates a quicker coding process enabling the healthcare facilities to file insurance claims as soon as the dictations are documented. The faster turn-around-time of STAT reports enabled emergency room patients to receive treatments instantly. The revenue cycle of the healthcare facility also experiences improvement, with most of the claims being processed in 3 to 5 business days. All said and done the healthcare facilities are able to provide better patient-care, with their documentation processes taken care by off-shore web-based vendor.

Some of the EMRs we support for transcription services are: Medent, iKnowmed, eMD-s, Nextgen, Omnimd, Medisoft, Synamded etc..
